This Privacy Policy explains how FireLead ("we," "our," "us") collects, uses, stores, and protects information when you use our platform. This policy may be updated as we add features and refine our practices.
1. Information We Collect
A. Business Information
When you create an account, we collect:
- Name, email, phone number
- Company name and details
- Service area and operating hours
- Billing and payment information
B. Customer Data
When your customers interact with your business through FireLead, we collect data on your behalf through:
- The FireLead chat widget embedded on your website
- SMS text messages
- Phone call follow-ups
- Facebook and Instagram messages
- Google Business Messages
- AI-generated chat sessions
- Self-service booking forms
This data may include:
- Customer names
- Phone numbers
- Email addresses
- Physical addresses
- Conversation content and message history
- Appointment requests and booking details
- Service preferences
C. SMS and Text Messaging Data
FireLead sends text messages to your customers on your behalf, including:
- Appointment confirmations
- Appointment reminders
- Reschedule notifications
- Review requests
- Invoice and payment links
- Responses to customer-initiated conversations
Customers opt in to receive these messages by checking the SMS consent checkbox on the FireLead chat widget welcome screen before starting a conversation. If the checkbox is not checked, no automated SMS messages will be sent, even if a phone number is provided during booking.
Customers may opt out of text messages at any time by replying STOP to any message. Upon opting out, no further messages will be sent unless the customer re-initiates contact. Standard message and data rates may apply.
We do not send unsolicited marketing messages. All text messages are transactional in nature and directly related to services the customer has requested.
D. Cookies and Tracking
We use cookies and similar technologies to:
- Maintain your login session
- Remember your preferences
- Analyze platform usage and performance
We do not use cookies for third-party advertising. You may disable cookies in your browser settings, but some features of the platform may not function properly without them.
E. Usage and System Data
We automatically collect:
- Device type and operating system
- IP address
- Browser type and version
- Pages visited and features used
- Diagnostic logs and error reports
- Performance metrics
2. How We Use Information
We use the information we collect to:
- Provide AI chat, messaging, and automation features
- Schedule and manage appointments
- Send notifications and reminders via email and SMS
- Process payments and manage subscriptions
- Improve the accuracy and quality of AI responses
- Provide technical support
- Monitor platform performance and stability
- Detect and prevent abuse, fraud, or misuse
- Comply with legal obligations
We do NOT sell your data or your customers' data. We do not use your data for advertising purposes.
3. AI Processing
FireLead uses artificial intelligence to:
- Generate conversational replies to customer messages
- Summarize conversations and extract key details
- Infer customer intent and qualify leads
- Suggest scheduling options based on availability
- Classify and route incoming messages
Important:
Your data may be temporarily processed by our AI provider (currently OpenAI) solely to generate responses. We do not permit any AI provider to use your data for training models. AI-generated responses may contain errors or incomplete information. You are responsible for reviewing AI output and stepping in when needed.
4. Sharing of Information
We may share data with the following categories of service providers, solely to operate the platform:
- Messaging providers (Twilio) for SMS delivery
- AI providers (OpenAI) for message processing
- Calendar providers (Google) for scheduling integration
- Social platforms (Meta) for messaging integration
- Payment processors (Stripe) for billing
- Cloud hosting and infrastructure providers
- Email delivery services (Resend)
We NEVER sell personal information to data brokers, advertisers, or any other third party. We only share data as necessary to provide the services you have requested.
We will not share, sell, or distribute any mobile opt-in data, including phone numbers collected through SMS consent, with third parties or affiliates for marketing or promotional purposes.
5. Data Security
We implement industry-standard security measures including:
- Encryption of data in transit and at rest
- Encrypted storage of integration credentials
- Role-based access controls
- Rate limiting on public endpoints
- Regular security audits
No method of electronic storage or transmission is 100% secure. While we strive to protect your data, we cannot guarantee absolute security.
6. Your Rights
You have the right to:
- Access the data we hold about you
- Correct inaccurate data
- Request deletion of your account and associated data
- Export your data
- Update your notification and communication preferences
- Opt out of non-essential communications

7. Data Retention
We retain your data for as long as your account is active or as needed to provide the service.
Upon account deletion, we will remove your data within 30 days, except where we are required to retain certain records for legal, tax, or compliance purposes, such as:

- Audit and activity logs
8. Children's Privacy
FireLead is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If we become aware that we have collected data from a minor, we will take steps to delete it promptly.
9. California Residents (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, request its deletion, and opt out of its sale. 10. Service Disclaimer
Features, data handling practices, and this privacy policy may change as we develop the platform. We will notify you of significant changes via email or dashboard notification.
11. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If changes are material, we will notify you by email or dashboard notification at least 14 days before the changes take effect. Continued use of the Service after the effective date constitutes acceptance of the updated policy.
